Once the file's retention value is expired - whether that's in 6 months, 5 years, or 100 years - the file can be set for automatic deletion, potentially reducing your storage by 10s of terabytes of useless data.
- Create storage rules for specific file types. You can also set storage rules for specified file types to further optimize your data lifecycle management solution. For example, as we know that most fixed files are created, disseminated, and never used again, you may choose to set a rule for fixed files to reduce the space they use on local hard drives. You can opt to move fixed files to storage at the end of the workday, replacing the file with a pointer, or address, to the full file. The process is completely transparent to employees - the file (which is now actually a pointer) still appears to be on your employee's computer. When your employee clicks on the pointer, the full file is accessed from storage, creating a lag of only a few seconds.
